Cloud Release

Cloud Release (also referred to as "Pull Print") is a document release method in which print jobs are temporarily uploaded to the cloud and retrieved directly by the printer from cloud storage.

For the Cloud Release to work, the following components will need to be enabled.

  • Cloud Site Service
  • Cloud Storage
  • Cloud Release

Enable Cloud Site Service

Enabling the Cloud Site Service setting is part of the initial site provisioning process, so there's no need for any additional action if your site is already provisioned with Cloud Site Service. If you currently have a local site service in operation and later choose to manage your printers through the Cloud Site Service, you can request your organization's Operations team to enable this setting on your behalf. Refer to the Configuring-Cloud Connected Devices document for more information about cloud-connected devices.

Enable Cloud Storage

To enable Cloud Storage, go to the Secure > Settings > Document Handling screen of the web console. When Cloud Storage is enabled, documents are stored both in the cloud and on user workstations. This allows users to release print jobs even if their local workstation is unavailable, enhancing print convenience especially for mobile users. A Cloud Backup license is required for this feature.

Enable Cloud Release

Administrators have two options for configuring Cloud Release:

  • Cloud Release global setting – Cloud Release is applied system-wide enabling or disabling cloud-based print job release for all devices.

  • Cloud Release setting in the Device Profiles tab – Overrides the global setting, allowing administrators to customize cloud release behavior for specific devices.

To enable the Cloud Release global setting, go to the Secure > Settings > Document Handling screen of the web console. Once Cloud Release is enabled for a customer, all Secure Print enabled HP or Ricoh printers will operate in Cloud Release mode.

To enable Cloud Release for a specific device profile, navigate to the Secure > Device Profiles tab of the web console. Select the device profile to modify and enable the Cloud Release setting.

Note: The Cloud Release toggle in Device Profiles tab appears only if the global Cloud Release setting is enabled. If the global setting is OFF, Cloud Release will not be available in Device Profiles.

Disabling the Cloud Release enables documents to be released via the Print Scout (instead of going through the cloud).

Note: With Cloud Release enabled, the IPP print driver may not function optimally in that setup. It's advisable to use the HP Universal Print Driver (UPD) instead. In this scenario, the Print Scout has no interaction at all during job release. The IPP print driver requires the Print Scout to establish an IPP connection to the printer, which isn't feasible with Cloud Release.

Supported Printers

Cloud Release is supported on the following printers

  • HP
  • Ricoh

Note: Document release for all other printer manufacturers, SR25, and QR Release are performed via Print Scout Release.

Cloud Release Workflow

1. A user submits a print job from a Windows or macOs machine running a Print Scout. The user can also submit print jobs from a mobile device with the Secure Print app installed or from Chrome OS extension or Linux workstations.

Note: Chrome extension, mobile, and Linux print submission options require Cloud Storage and OpenID Connect as the user authentication provider.

2. The Print Scout will upload the print jobs to the cloud. HP Insights encrypts the print job.

3. The user walks up to a secure printer and authenticates. The secure printer pulls the print job from HP Insights.
