Secure Printers Screen

The Secure > Secure Printers screen displays the list of devices discovered by the Device Scout. It shows print device information such as status, device password, and so on. Administrators can use this screen to quickly identify whether a device is secured and determine the secure User Workflows that a device supports (e.g. QR Release, Card Reader).

The Secure > Secure Printers screen has the following action buttons:

  • Deploy Printer Sign In - It pushes the selected authentication methods (such as card reader, keyboard login, or QR Sign‑In) from the web console down to the printer devices so users see the correct sign‑in options at the printer panel.
  • Printer Admin Credentials - Allows administrators to change manufacturer default admin credentials on printers, setting or resetting the username and password for the device.

  • Printer Readiness Guide - Opens a link to the Printer Readiness Guide to help ensure printers are properly set up.

  • Deploy QR Release - Use this button to enable, disable, or manage QR Release on selected printers. It applies QR Release configuration to one or more printers so users can release print jobs by scanning a QR code at the device using the Secure Print mobile app. Once it is enabled, the following buttons become active.

    • Remove QR Release - When this option is used, HP Insights removes the QR‑based job release capability from the selected printer(s), so users can no longer release print jobs by scanning a QR code at those devices.

    • Generate QR Labels - This allows administrators to create printable QR code labels for printers that have QR Release enabled. These labels are physically attached to printers and allow users to release print jobs by scanning the QR code with the HP Insights mobile app

  • Deploy External Hardware - This option appears only if you a license for SR25 hardware . Clicking this action shows the steps on how to deploy or SR25 hardware
  • Import Printers - This option is used to import printers for use with Secure Print.
  • Reset Secured Printers - Use this option to update the status of printers that are no longer active on the network but still appear as secured in the system. Clicking Reset Secure Printers will change their status from "Secured" to "Unsecured", ensuring the list reflects only currently active devices.
  • Assign Device Profile - Select this option to assign device profiles to printers.

Column

Description

Status

Shows the status of the printer.

  • Unsecured – The printer is not part of the Secure Print system. Jobs sent to the HP queue cannot be released from unsecured printers.
  • Secured – Print jobs submitted to the HP queue will be held in the queue until they are released by the user. The Secure Print app is successfully installed on the device.
  • Service Error – Indicates a service-related issue that requires the attention of service personnel.
  • Needs attention – The printer has an issue that needs attention.
  • Not securable – The printer’s supported release type is not enabled. For example, the printer supports QR Release type only, but the QR Release type is not enabled in the Secure > Settings screen.
Model The device model.
Manufacturer The device manufacturer name.
Serial Number A unique sequence of numbers and letters assigned to an individual piece of hardware or software for identification purposes.
IPv4 Address The IPv4 address of the device.
IPv6 Address The IPv6 address of the device.
Device Profile This field shows the device profile assigned to the device.
Network Address

This field shows the network address that is used to communicate with the device. HP Insights determines the appropriate Network Address based on available information, such as the presence of hostname or IP addresses, and the method used to obtain the information, such as Device Scout scan or device import. When a device has both IPv4 and IPv6 addresses, the preferred order for connecting to a device is as follows:

  • If a hostname is available, it takes precedence for device identification. However, it is important to have a functioning Domain Name System (DNS) to effectively use hostnames for device identification. It is not recommended to rely on hostnames if your network does not have a reliable DNS infrastructure.
  • If a hostname is not available, it checks for the presence of an IPv4 address first, followed by an IPv6 addres.

Note: If a device is scanned with an IPv6 address (where the device was added to the scan list by providing its IPv6 address, or where the device was scanned by hostname but only returned an IPv6 address), IPv6 will be the preferred address even if IPv4 address is present.

Note: The Remove Network Address button (in the Discover > Device Inventory tab) allows IT administrators to remove outdated network addresses (such as hostnames or IP addresses) associated with a device. This is useful when transitioning from an IPv4 network to an IPv6-only configuration or when there is a need to clean up the system by removing outdated information.

Network mismatch warning

When the IP address or hostname in the Device Inventory no longer matches the current network address of a Secure Printer, the system will notify administrators.

A warning icon will appear next to the Network Address field in the Secure Printers grid. Clicking the warning icon shows instructions on how to update the Network Address.
